Automatic creation of sales agreements at fishing trip landing of own boat

This feature enables sales documents to be automatically created when fishing trip of own boat is landed. It is advised to make sure that those processes run manually before applying this automation. Running them manually first will give the user a better understanding of error messages, in case there is something missing in the setup.

Setup

  1. Go to Fishing Setup. To activate the functionality set the field „Land FT for Own Vessel“ to „Create Sales Agreements“

  2. Open „Configurations“ / Fishing Trip Sales Agreement Creation.

It opens up a table used to configure the settings of the automation. Most vital thing here is to understand that there are 2 different method supported:

  • Internal sales/purchase between Stock Centers in the company. This way will generate sales and purchase documents between two Stock Centers using the Internal Sales Agreements. The functionality will post the documents automatically.

  • Market sale (direct sales to 3rd party). This will only create sales documents and leave them unposted.

Regarding fields in the table:

Code: Simple indicator that will be used in the field “Sales Agreement Separator” in fishing trip lines.

Default landing type code: The selected landing type will be assigned to the fishing trip line.

Description: A way to add description. This description will not show up anywhere else than in this setup table.

Purchase Customer Code: To indicate what the customer code is, that the sale will be assigned to.

Purchaser Stock Center Code: This is only meant to be filled out for internal sales/purchase. It does not apply  for market sale.

Purchasing Location Code: This is only meant to be filled out for internal sales/purchase. It does not apply  for market sale.

Default Sales Person on Document: Optional to fill out: Will fill out the sales person of a delivery agreement.

Status: make sure that the status is set to Released so the option is available in the Fishing Trip lines.

 

  1. In the internal sales user setup, one can specify setting, what should happen when internal sales documents are created. As shown on the screenshot below, the „Create and Post Documents“ option is the default one (and in general the recommend one, as it auto posts, and saves a few mouse clicks).

Process

Before landing the fishing trip, specify what type of sale is for each line in the field “Sales Agreement Separator”

When landing the fishing trip, the system first generates a Delivery Agreement and links a sales invoice for the market sale. The invoice will open, and the user must manually post it.

Once the invoice is posted or closed, the system will generate the internal sales agreements and automatically post them.

The landing date will be used for the posting date on sales and purchase documents.
