Trade Item Consumption Journal

When allocating raw material to a production lot it needs to be posted to reduce the inventory level and record it to the appropriate production lot. This is done with the Trade Item Consumption journal.


Using the Consumption Journal

  1. Navigate to the Trade Item Consumption Journal.

  2. To select the raw material to be consumed, click on Select Trade Items. This opens up a reservation page where all available inventory is displayed on the left.

  3. Use the Filters to narrow down on the raw material to be consumed. 💡 Filters that are entered in the header become active in the window on the left side of the page (Open Trade Items for Selection), which displays open and available trade items.

  4. Before selecting the items line, be sure to select the default posting date and the Consumed to TI Lot. These values will be automatically copied to the usage lines when the trade items have been selected.

  5. Select the trade items to consume on the left side of the page. The reserved line then becomes italic and red to signify that it has been reserved and a new line is created in the window on the right side of the page (Selected Trade Items for Journal).

💡 If you only need to consume part of the raw material line, you can split it with the action Edit Selected Qty on Trade Item. Click in the line on the right side to select the item line you want to split.

  1. The selection of trade items is confirmed by pressing OK at the bottom of the page and then the system creates the lines in the consumption journal.

  2. Optional: to split the consumption between the stages of the lot, use Lot Stages Distribution. See Distribute consumption to lot stages below.

  3. When the journal has been verified, Post it.

Information about the posting is updated on the right side of lot card (consumption on the right and production on the left).

There it is also possible to use „Recall Analysis“ for all the entries that were created by the posting.

Distribute consumption to lot stages

A production lot can have several stages, for example filleting, trimming and packing. If raw material is consumed to the lot as a whole, you can use Lot Stages Distribution to split it between the stages before posting. The system suggests the split based on what has been produced in each stage, and creates one journal line per stage.

This matters when cost and yield are followed per stage. For example, if the lot's BC Inv. Production Posting is set to Stage within Lot, the raw material must be recorded to the correct stages.

Before you start

  • The journal lines must have the Consumed to TI Lot filled in, and Consumed to Stage must be blank on all lines for that lot. The distribution fills in the stage.

  • Each line must be linked to an open trade item (selected with Select Trade Items).

  • The lot must have Lot Stages. You can see them with the Lot Stages action on the Lot Card.

  • To get a suggestion based on the BOM, output should already be posted to the stages and the products should have a BOM. Otherwise, enter the split manually as percentages.

Steps

  1. In the Trade Item Consumption Journal, select a line for the lot and click Lot Stages Distribution. All lines in the batch with the same Consumed to TI Lot are included.

  2. The Lot Stages for Consumption page opens.

    • The header shows Quantity to Distribute (the total quantity of the journal lines for the lot), Total BOM Weight and Total Manual %.

    • The lines show one row per stage in the lot.

  3. In the lines, choose which stages to distribute to with the Distribute checkbox. By default, stages with no consumption yet are selected.

  4. Choose how to split:

    • By BOM (default): leave Manual % at 0 on all lines. The quantity is split in proportion to the BOM Weight of each stage, which is the raw material needed for the output posted to the stage according to the products' BOMs. Distribute % shows each stage's share.

    • Manually: enter a Manual % on the stages. The total must be exactly 100, otherwise a notification is shown and nothing is suggested.

  5. Click Suggest Distribution. The Suggested Weight column is filled in for each selected stage. If some stages already have consumption, a notification says that this quantity isn't included in the distribution.

  6. Check the suggestion and adjust if needed. Then click Confirm Distribution.

  7. The page closes. The original journal lines for the lot are replaced by new lines, one or more per stage, with Consumed to Stage filled in and the quantities from the suggestion.

  8. Check the journal and Post.
